The free tier is real, but the overall pricing structure is opaque once you move beyond it. The Core Payroll paid tier requires a demo or direct quote.
That is a friction point for buyers who want to model costs before any sales engagement.
The platform was originally built by KeyPay (acquired in 2019 and rebranded post-2022), and some integrations still surface KeyPay API naming.
For a buyer checking integration documentation before sign-off, that legacy naming creates unnecessary confusion.
If you need the Construction Industry Scheme or complex shift-based pay structures, test these specifically before committing. User reviews on G2 and Capterra in 2025 flagged support response times as inconsistent at higher volume.
For a very small team, that matters less than it does at 50 employees.
3. Xero Payroll: Best for Existing Xero Accounting Users
Xero Payroll is not a standalone payroll product. It is a payroll module inside the Xero accounting platform, priced at £1.50 per person per month as an add-on.

If you are on the Ignite plan (£16/month), that total approaches what a dedicated payroll tool would cost for full accounting functionality.
P11D forms are not natively produced in the standard plans. Advanced payroll features such as detailed labour cost reporting require higher Xero tiers.
For a business with a growing team and complex payroll structures, Xero Payroll’s feature depth becomes limiting before its price does.

The 90% introductory discount compresses the pricing decision. On the Essentials plan at 25 employees, you pay approximately £5/month for the first six months, then £50/month from month seven.
If your finance team anchors the budget to the promotional rate, the step-up will be a problem.
P11D forms are not produced natively in any Sage Business Cloud Payroll tier. You need to use HMRC P11D Online or export data separately.
For businesses with benefits in kind, that is an additional compliance step that tools like Payfit eliminate.
The documented renewal price increases are a genuine procurement risk. Before signing up, request written confirmation of your renewal rate and build the full post-promotional rate into your Year 2 budget from the start.
Do not treat the six-month discounted figure as your working cost.

The cost at scale is difficult to justify for pure payroll. A 50-employee business on Payfit Premium pays roughly £469/month (£119 + (50 × £7)), over £5,600/year. BrightPay handles the same headcount for under £290/year.
If you do not use the HR features, you are paying a significant premium for functionality you are not using.
Payfit Light, at £29/month plus £5/employee, is more accessible at small headcounts, but the Light plan’s feature set is limited relative to what you might expect at that price point.
Standard and Premium unlock the features that make Payfit worth the premium, and at those tiers the cost rises fast.

The price gap is not explained by compliance quality: every tool on this shortlist is HMRC-recognised and handles RTI and auto-enrolment.
It is explained almost entirely by whether the tool includes HR features and what the billing model rewards at higher employee counts.
Three pricing models appear across this shortlist:
